Privacy policy

CuTools Carbide respects your privacy and handles personal information in line with the Protection of Personal Information Act, 4 of 2013 (POPIA). This policy explains what we collect, why we collect it, and how we protect it when you interact with us from Germiston and across South Africa.

Information we collect through enquiries and orders

We collect personal information that you provide when you submit an enquiry form, request a quotation, ask for tool selection support, or place an order for solid carbide end mills and drills. This may include your name, company name, contact details, delivery address, VAT number where applicable, and the machining or application details needed to assist you properly.

We may also collect technical information related to your request, such as machine type, material grade, feed and speed data, or current tool life notes. This information helps us give practical advice for CNC machining centres in Johannesburg, Pretoria, Cape Town, Durban, Gqeberha and other areas we serve.

Why we use your personal information

We use your personal information only for lawful business purposes connected to our supply and support services. This includes responding to enquiries, preparing technical quotations, arranging stock, confirming deliveries, supporting sample tool trials, and following up on service requests.

  • To provide tool selection and application support
  • To prepare quotations and order confirmations
  • To manage stock planning and urgent tool supply
  • To provide technical advice on speed, feed and tool life
  • To comply with legal, tax, and accounting duties

How we handle information from your machine shop

When you ask for material matching, process troubleshooting, production standardising or on-site consultation, we may need to record details about your process, tooling history, and production targets. We use that information only to assist with the specific job and to improve follow-up on similar requirements in future.

We do not use your process information for unrelated marketing. If you share drawings, sample results, or production notes, we treat them as confidential and use them only for the purpose for which they were supplied.

Sharing information with trusted parties

We may share personal information with service providers that help us operate our business, such as delivery services, accounting support, payment processing, and information storage providers. These parties are required to handle information responsibly and may only use it for the work they perform for us.

We may also disclose information if required by law, a court order, or any lawful request from a competent authority. Where possible, we limit disclosure to the minimum information needed for that purpose.

Storage, protection and retention

We take reasonable technical and organisational measures to protect personal information against loss, misuse, unauthorised access, alteration, or disclosure. Access is limited to staff who need the information to perform their duties, including sales, technical support, operations, warehouse and quality functions.

  • Information is kept only for as long as needed for the purpose it was collected for
  • Records may be retained for tax, legal, and audit requirements
  • We review stored information periodically and remove data no longer required
  • Physical and electronic records are handled with care, especially where customer specifications are involved

Your rights under POPIA

You have rights in relation to your personal information, subject to legal limits. You may ask us what information we hold about you, request correction of inaccurate details, or object to certain processing where allowed by law.

If you want us to update or remove your details, you can do so through the enquiry form on our contact page. We may need to verify your identity before acting on a request, especially where the request concerns order history, quotations, or account records.

  • Request access to personal information we hold
  • Ask us to correct or update your details
  • Object to processing in certain circumstances
  • Withdraw consent where processing is based on consent

Cross-border access and policy updates

Our services are focused on South African customers, but some information may be accessed or stored by service providers outside South Africa where systems are hosted or backed up. Where this happens, we take reasonable steps to ensure that the information is protected to a standard that supports POPIA compliance.

We may update this privacy policy from time to time to reflect changes in law or in our operations. The current version will apply from the date it is published. Continued use of our services after an update means you accept the revised policy, so please check it periodically.
